How to upload and manage resources that are shared with the group or privately with individual learners.

 

1: How are resources shared and accessed in a programme?

One of the core objectives of GiraffePad is to help you keep everything relevant to your learning events in one place. When running a programme you have a number of options to organise and share all the resources with your learners.

  • Resources that are related to the whole programme and that you wish all the learners to have access to can be uploaded to the "Programme resources" on the programme page. 
  • Resources that are related to a specific event within the programme can be uploaded to the "Event resources" on that event page.
  • Resources that are private to individual learners can be uploaded privately to their "Personal resources", either at Programme level or on each specific event.

 

2: Uploading Programme resources:

On the programme page, below the list of events are the "Programme Resources". These are available to all learners invited to the progamme. To upload a file simply click on  "Upload file(s)" and this will open the pop-up to load a file from the device you are using. To upload a web link or video simply click on the "+web link" and you will open a pop-up to paste in the relevant web link.

 

When the programme resource is specific to an individual learner (personality profile, video feedback, individual questionnaires etc) you can do this privately. Only the learner and trainer can access these resources.

  • Click on the relevant learner in the list of learners: this will open up their learner page.
  • Scroll down to "Learners personal resources".
  • Upload files or web links using the relevant buttons. 

 

3: Uploading resources to programme events:

Each you create within a programme will also have "Event Resources" so you can upload event specific resources to share with the learners you have invited in to that event from the programme.

On each event page you can also upload privately to each learner by selecting them from the list of learners. 

 

4: What resources can be uploaded?

The resources section in your programme and all the associated events allows you to upload files such as:

  • Word documents
  • PDF's
  • Spreadsheets
  • JPG/PNG for photo's and images (of flip charts for example!)
  • Web links for sites of interest to your learners
  • Videos (hosted on YouTube or Vimeo) which will embed and play in the event page.

Learners will have access to all of these resources for as long as you keep the Programme live in your dashboard.

 

5: Managing learners uploads:

Learners have the function to upload resources to either share privately with you or with the whole group. You will notice that all resources are tagged with the name of the person who uploaded it to make ownership clear and transparent. Learners can do this on both the programme page and also on each event they are invited to within that programme.

If they have shared privately with you simply click on the resource in their "Learners personal resources" section on either the programme page or within a specific event. This will enable you to download the resource to your device to view and edit/respond to if required. If they have uploaded a video privately to you simply click on play and you can view it embedded in GiraffePad.

If they have shared with the group it will appear in the "Programme Resources" or "Event resources". Should you decide this needs to be made private to the learner (shared in error or not appropriate) you can click on the padlock next to the resource and this will return it to the personal resources of that learner:

 

6: Uploading repeat resources:

Any resources you upload to GiraffePad will also be stored in your general "Resources" library on the side menu. If you use the same resource on multiple events you can upload it from here.

Simply click on the "Add to programme" or "Add to event" button next to the relevant resource and it will give you a list of your programmes/events to choose which one to upload to.

 

7: Deleting resources:

If you decide to delete a resource from a programme or an event within a programme, simply click on the X next to the relevant resource and this will delete it from the event and also from your learners event page. It will not delete it from your general resource library.
